Policies

By booking with us, you agree to the policies outlined below.

1. Booking & Payment

A 25% non-refundable booking fee is required to secure your wedding date. Your date is not confirmed until the booking fee has been paid and the booking has been accepted in writing. The remaining balance is due 14 days before the wedding date. Final films will not be delivered until the full balance and any additional agreed fees have been paid. If the final balance is not paid on time, we reserve the right to cancel coverage and retain the booking fee.

2. Cancellation Policy

The booking fee is non-refundable in all circumstances, as it secures your date and prevents us from taking other bookings. If you cancel your booking, the following cancellation terms apply:

  • More than 90 days before the wedding: booking fee retained

  • 30–90 days before the wedding: 50% of the total package price is due

  • Less than 30 days before the wedding: 100% of the total package price is due

Cancellations must be made in writing.

3. Rescheduling Policy

If your wedding date changes, we will make every reasonable effort to move your booking to the new date, subject to availability. If we are available for the new date, your booking will be transferred. If we are unavailable for the new date, this will be treated as a cancellation under our cancellation policy. Any price changes, travel changes, accommodation needs, or package adjustments caused by rescheduling may be quoted separately.

4. Coverage Time

Your package includes the amount of on-site coverage stated in your booking. The Reception Interview Film includes up to 3 hours on-site. Coverage time begins from the agreed arrival time, not from the first interview. This allows time for arrival, setup, coordination with the venue, guest interaction, filming, and pack-down. If the wedding schedule is delayed, coverage time will still end at the agreed time unless additional time is purchased and we are available to stay. Additional on-site time is charged at £200 per hour, subject to availability.

5. Schedule Delays

Weddings are live events and delays can happen. We will always do our best to work around reasonable changes to the schedule, but we cannot guarantee coverage of specific interviews, speeches, moments, or guests if delays, venue restrictions, weather, or timing issues prevent them from being captured. If key moments move outside the agreed coverage time, additional coverage may be required.

6. Guest Participation

Our films depend on guests being available and willing to take part. We will make every reasonable effort to interview a wide range of guests, but we cannot guarantee that every guest will appear in the final film. Guest participation depends on willingness, timing, availability, venue layout, noise levels, and the natural flow of the wedding day. If a guest declines to be interviewed, we will respect their decision.

7. Interview Content

Guest interviews are unscripted and natural. We guide guests with prompts and questions, but we cannot control exactly what guests say, how long they speak for, or how comfortable they feel on camera. We use our creative judgement to select the strongest, most meaningful, appropriate, and entertaining moments for the final edit. Not every recorded answer will be included in the final film.

8. Final Film Length

Final film length depends on the number of guests interviewed, the quality of responses, the schedule of the day, and the package booked. The Reception Interview Film is typically around 45–60 minutes. The Story Package and Full Evening Package may be longer, depending on speeches, interviews, and additional coverage. Final film lengths are estimates and are not guaranteed.

9. Editing Style & Creative Control

Our films are edited in our natural documentary interview style. This may include selected interview moments, natural pauses, laughter, emotional messages, guest stories, background music, titles, sound mixing, colour correction, and pacing decisions. By booking, you agree to trust our creative judgement in how the final film is edited and presented. We decide which clips, responses, and moments are included in the final edit. We will never intentionally include anything we believe is cruel, inappropriate, humiliating, or damaging.

10. Revisions

One round of reasonable revisions is included with your final film. Reasonable revisions may include small changes such as:

  • Removing a clip or section

  • Adjusting music volume

  • Correcting names or titles

  • Minor sequence adjustments

  • Removing something sensitive or unwanted

Major restructuring, repeated revision rounds, re-editing the full film, changing the overall style, or requests outside the original brief may be charged separately. Additional editing is charged at £75 per hour. Revision requests must be submitted within 14 days of receiving the first version of the film. If no revision requests are received within 14 days, the film will be considered approved.

11. Audio & Environment

We use professional cameras and audio equipment, but weddings are live environments. Reception rooms, evening parties, outdoor areas, loud music, cheering, wind, background noise, venue acoustics, guest movement, and other factors can affect audio and video quality. We will make every reasonable effort to capture clean interviews, but we cannot guarantee studio-quality sound in live wedding conditions.

12. Venue Rules & Restrictions

The couple is responsible for ensuring that the venue allows filming and that we are permitted to work on-site. Some venues may have rules about where suppliers can stand, where equipment can be placed, when filming is allowed, or whether additional lighting/audio equipment can be used. We are not responsible for missed footage caused by venue restrictions, access issues, staff instructions, ceremony rules, safety policies, or supplier limitations.

13. Coordination With Other Suppliers

We are happy to work alongside photographers, videographers, planners, coordinators, venue staff, DJs, bands, and other suppliers. The couple is responsible for making other relevant suppliers aware that we will be present if needed. We will always aim to work respectfully and discreetly without disrupting the flow of the day. If another supplier’s requirements, setup, positioning, or restrictions prevent us from capturing certain content, we cannot be held responsible for missed footage.

14. Meals & Breaks

For bookings over 5 hours on-site, a supplier meal or suitable break should be provided. For shorter bookings, no meal is required.

Where we are booked late into the evening or for extended coverage, reasonable access to water and breaks may be required.

15. Travel

Travel is included for venues within 50 miles of our base. For venues outside this radius, additional travel is charged at £1 per mile for the extra return mileage beyond the included 50-mile radius. Parking, tolls, congestion charges, ferry fees, clean air zone charges, and other travel-related costs may be charged separately where applicable. Travel costs will be confirmed before booking where possible.

16. Accommodation

Accommodation may be required for weddings where:

  • Travel time is too long for safe same-day return

  • The event finishes late and is far from our base

  • The booking is outside our usual service area

  • There is an early start

  • The booking spans multiple days

  • Weather, travel disruption, or logistics make same-day travel unreasonable

Where accommodation is required, it will be quoted separately and agreed before booking. Accommodation must be safe, reasonable, and located within practical travelling distance of the venue.

17. Delivery Timeline

Final films are usually delivered within 6–8 weeks of the wedding date. Delivery times may vary during busy periods.

Priority turnaround may be available as an add-on and must be agreed before booking. Delivery times are estimates and may be affected by workload, illness, technical issues, client response times, or circumstances beyond our control.

18. Priority Turnaround

Priority Turnaround is available as an optional add-on, subject to availability. Priority Turnaround aims for delivery within 2 weeks of the wedding date. Priority Turnaround does not guarantee delivery by a specific date unless agreed in writing. If a specific deadline is required, this must be discussed before booking.

19. Raw Footage

Raw footage is not included as standard. A Raw Interview Archive may be available as an optional add-on. Raw footage may be provided as lightly organised files and may include unedited audio, test shots, camera movement, repeated takes, unusable sections, or incomplete moments. We are not required to provide every file captured on the day.

20. File Storage & Backup

We take reasonable care to back up and store footage safely during the editing process. Final films will be made available for download after delivery. Clients are responsible for downloading and safely storing their final films. We recommend saving your final film in more than one location. Project files and raw footage may be deleted after 90 days from final delivery unless a longer storage period is agreed in writing.

21. Music

Where music is used in the final film, we will select suitable licensed or copyright-safe music where required. Music choices are made to fit the tone, style, and pacing of the film. Specific song requests may not always be possible due to copyright, licensing, platform restrictions, or suitability.

22. Social Media Clips

Where a Social Media Highlights Bundle is included or purchased, clips will be edited in a vertical format suitable for platforms such as Instagram Reels, TikTok, and Stories. Social clips are selected from the strongest interview moments. We cannot guarantee that specific guests, jokes, or moments will be included in the social clips. Social media platforms may compress, crop, mute, restrict, or alter uploaded content, which is outside our control.

23. Portfolio & Promotional Use

Our standard pricing includes permission for us to use selected clips, stills, audio, and behind-the-scenes material from your wedding for our portfolio, website, social media, showreels, advertising, sales calls, and promotional material. We always aim to share footage tastefully and respectfully. We will not intentionally post anything we believe would embarrass, humiliate, or negatively affect you or your guests. If you have specific sensitivities, you must tell us in writing before the wedding.

24. Founding Couples Offer & Promotional Use

The Founding Couples Offer is available for a limited number of early wedding bookings. As part of this offer, couples agree that selected clips, stills, audio, and behind-the-scenes material may be used for our portfolio, website, social media, showreels, advertising, sales calls, and promotional material. Couples who require their wedding to remain completely private are still welcome to book, but the Founding Couples Offer will not apply.

25. Private-Use-Only Option

Couples who do not want their wedding footage used publicly may choose the Private-Use-Only option. Private-Use-Only coverage means we will not use your footage publicly in our portfolio, website, social media, showreels, advertising, or promotional material. Private-Use-Only coverage is charged at an additional 30% of the package price. Private-Use-Only must be agreed in writing before booking. Private-use-only does not prevent us from storing, editing, backing up, or internally processing your footage as required to deliver the service.

26. Guest Consent

Because our films are interview-based, guests who take part will be made aware that they are being filmed. Where appropriate, we may let guests know that clips could appear in the couple’s final film and may also be used for portfolio or social media purposes, depending on the couple’s booking terms. If a guest does not wish to be filmed, they can decline. The couple is responsible for informing us in advance of any guests who must not be filmed or shared publicly.

27. Children & Vulnerable Guests

If children or vulnerable guests are present, the couple is responsible for making us aware of any filming restrictions before the wedding. We will take reasonable care when filming children and vulnerable guests, and we will avoid using sensitive footage publicly where we are made aware of restrictions. If there are specific guests who must not be filmed or posted, this must be confirmed in writing before the wedding.

28. Sensitive Content

We reserve the right not to include or publish content that we believe is inappropriate, offensive, defamatory, discriminatory, overly intoxicated, humiliating, unsafe, or likely to cause distress. We may remove content from the final edit or social clips at our discretion. If the couple requests that specific sensitive content is removed, this will usually be handled within the included revision round.

29. Illness, Emergency & Substitution

In the unlikely event that a team member is unable to attend due to illness, emergency, accident, bereavement, or circumstances beyond our control, we will make reasonable efforts to provide a suitable replacement or continue coverage with adjusted staffing where possible. If we are unable to provide the service at all, our liability will be limited to the amount paid by the client.

30. Equipment Failure

We use professional equipment and take reasonable precautions to reduce the risk of technical failure. However, cameras, audio equipment, memory cards, batteries, lighting, software, hard drives, and other equipment can occasionally fail. In the unlikely event of equipment failure, we will make reasonable efforts to continue coverage and recover footage where possible. Our liability is limited to the amount paid for the affected service.

31. Force Majeure

We are not responsible for failure to perform or delays caused by circumstances beyond our reasonable control.

This may include, but is not limited to:

  • Extreme weather

  • Natural disasters

  • Road closures

  • Travel disruption

  • Illness or injury

  • Accidents

  • Power failure

  • Venue closure

  • Fire or flood

  • Government restrictions

  • Security incidents

  • Public emergencies

  • Supplier restrictions

  • Technical failure outside reasonable control

Where possible, we will work with you to find a fair and practical solution.

32. Limitation of Liability

Our total liability for any claim relating to the booking, service, footage, edit, delivery, loss, or failure to perform is limited to the total amount paid by the client for the relevant service. We are not liable for indirect loss, emotional distress, loss of opportunity, reputational damage, social media performance, or loss caused by circumstances beyond our control.

33. Client Responsibilities

The couple is responsible for:

  • Providing accurate wedding details

  • Confirming timings and venue information

  • Informing us of any schedule changes

  • Making us aware of venue restrictions

  • Informing us of guests who must not be filmed or posted

  • Ensuring the venue permits filming

  • Paying balances and additional fees on time

  • Downloading and safely storing final films after delivery

  • Providing any required permissions or information before the wedding

34. Destination Weddings & Custom Events

Destination weddings, multi-day weddings, celebrity events, luxury private parties, and bespoke events are quoted individually. Custom terms may apply depending on travel, accommodation, security, privacy, NDAs, additional crew, turnaround times, and event complexity. All destination and custom event pricing must be agreed in writing before booking.

35. Agreement

By paying the booking fee, the client confirms that they have read, understood, and agreed to these booking policies. Any changes to these policies must be agreed in writing.
